School Business and Systems Analyst

Job Introduction

Location: Dean’s Yard, Westminster

Contract: Full-time, 12 month fixed-term contract

Hours of work: 35 hours per week, with a one-hour unpaid lunch break each day. Working hours will fall within the 8:00 to 18:00 operational window, with specific start and finish times agreed with the line manager.

Salary: £48,000 – £52,000 per annum, depending on experience.

We are seeking a hands-on Business Analyst to support the continued development of the School’s core systems and data capability. 

 

The school has a mix of in-house developed and commercial systems, with a strategy to lead with Cloud First and Software as a Service where possible. 

 

You will work across the School’s information systems and data platforms, and develop clear business cases and agreed functional specifications, ensuring systems support and improving School processes. This includes administrative and support areas such as Finance, Estates, and Health and Safety, as well as academic and pastoral areas including Safeguarding, Teaching and Learning, Admissions, Wellbeing and Trips. You will also work closely with the HRIS Administrator and Data Analyst for HR and Payroll processes.

 

There is also a focus on systems selection and integration, process improvement, and effective use of data.

 

You will take a lead role in:


  • Identifying, understanding and documenting the school’s systems requirements, used to guide and evaluate systems selection.
  • Working with and supporting staff to manage systems change. 
  • Leading implementation of new systems, including supporting the users to obtain maximum benefit.
  • Ensuring systems compatibility and integration is managed, supporting a ‘single source of truth’ data approach.
  • Improving process efficiency and reducing manual or fragmented workflows.
  • Ensuring systems are well used and aligned to the School’s needs.
  • Improving data quality, reporting and insight to support decision-making.
  • Helping to strengthen integration between SaaS platforms and in-house systems

Reporting to the Director of IT, you will work closely with academic and support staff, IT colleagues and third-party suppliers to deliver improvements to systems and processes. You will act as the bridge between users and technical teams, ensuring requirements are clearly understood and solutions deliver practical benefit. Excellent communication skills are therefore essential for this role.

 

Due to the nature of this role, you will be required to work on site at our main site in Dean’s Yard and our linked prep school, Westminster Under School, as required.

 

Role Responsibilities: 


Business Analysis and Requirements Definition

  • Engage with academic and support staff to understand objectives, challenges and operational needs
  • Analyse processes, systems and data flows to identify inefficiencies, risks and opportunities
  • Elicit, document and manage business, functional and non-functional requirements using appropriate techniques (e.g. workshops, interviews, process mapping)
  • Produce clear artefacts including business cases, requirements specifications, process maps and impact assessments
  • Ensure requirements reflect safeguarding, data protection, information security and regulatory needs
  • Support system evaluation and selection activity

Stakeholder Engagement and Communication

  • Build strong working relationships across the School, acting as a trusted point of contact
  • Communicate clearly with technical and non-technical audiences, tailoring approach as needed
  • Facilitate workshops and discussions to drive clarity, alignment and decision-making
  • Ensure stakeholders are engaged, informed and appropriately challenge solutions

Change and Project Delivery

  • Support projects from discovery through to delivery and post-implementation review
  • Work with project managers and technical leads to ensure solutions meet agreed requirements
  • Contribute to options appraisal, benefits realisation and risk management
  • Support user acceptance testing (UAT), including planning, coordination and defect resolution
  • Contribute to change activities such as communications, training materials and user guidance

Data, Reporting and Insight

  • Define data and reporting requirements to support operational and strategic decision-making
  • Support improvements in data quality, standards and information flows between systems
  • Work with technical teams to ensure reporting and dashboards are accurate and user-focused

Governance and Continuous Improvement

  • Promote consistent business analysis standards, templates and ways of working
  • Maintain clear documentation and audit trails for decisions and changes
  • Identify and drive opportunities to improve processes, systems and service delivery
  • Support post-implementation reviews to capture outcomes and lessons learned

Hours of work

This is a full-time role of 35 hours per week, with a one-hour unpaid lunchbreak each day. Working hours are typically 9:00 to 17:00.

Occasional flexibility may be required to support key project milestones or stakeholder availability. Where additional hours are agreed in advance, time off in lieu may be granted in line with School policy. Time off in lieu is not automatic and applies only to significant additional hours worked by prior agreement or subsequent approval.

This is a fixed-term role to support the I.T. Department in defining and delivering a range of IT systems projects that is expected to achieve within this timeframe.
